How to action 'Awaiting Review' mail

About the 'Review Mail Before Dispatching' setting


If your organisation has the 'Review Mail Before Dispatching' setting turned on, all incoming mail uploads will pause in an Awaiting Review state until they’re manually approved.


This feature is optional and useful if your payroll team wants to perform a quick quality assurance (QA) check before digital documents are released to employees.

 

When enabled:

  • Mail items appear as Awaiting Review immediately after upload.
  • Users with permission to approve mail can review, send, or reject these items.
  • Once approved, the mail is processed and delivered through Payreq as normal.

 

When disabled:

  • Uploaded mail is automatically delivered once matched to a valid contact and subscription.
  • You’ll only need to review mail if it appears in Undeliverable or Error status.

 

How to Action: Approving in bulk

1. Filter by Awaiting Review.

2. Click Approve at the top of the Mail table.

3. Confirm the total number of documents.

Click Send all to release them for delivery.

How to action: Approving individually

  1. Filter by Awaiting Review (see above).
  2. Open a mail record.
  3. Review document details and recipient data.
  4. Click Send (green) to approve or Delete (red) to reject.

 

 

Use this feature to QA documents before sending.

 

Best practice: Enable Review Mail Before Dispatching in mailer settings if you want to review or hold back releases — for example, during payroll testing, transitions, or when sending sensitive updates. Disable it for ongoing pay cycles to streamline delivery once processes are stable.
